What's included
The whole job, from the first request to the audit.

Send us your vendor list
A spreadsheet is enough: company names and whatever contacts you have. Tell us your requirements, such as liability limits and additional insured wording.
- Step 2
We contact every vendor
We request certificates of insurance, WSIB clearance and trade licences from each vendor, by email and phone, and follow up until they answer.
- Step 3
We verify at the source
WSIB clearances through WSIB's eClearance service, licences on the TSSA, ESA and corporate registers, and the insurance broker when a certificate doesn't add up.
- Step 4
We check against your requirements
Each document is compared with what you require: limits, expiry, named insured, additional insured. Gaps are flagged before the vendor is on site.
- Step 5
We chase every renewal
Thirty days before anything expires we ask the vendor for the renewal, so lapses are caught before they become a problem.

A monthly compliance report and an audit pack on demand, ready for a condo board, an owner or your insurer.

Many prequalification platforms charge contractors an annual fee to take part. Vendorpass never charges a vendor to answer a request, and the record they build is theirs to share with every other customer.

Founding pilot
Start with a 60-day pilot.
We're taking on a small number of property management firms in Ontario as founding clients. Pilot clients get:
- Setup waived (normally $500)
- Your full vendor list requested in the first week
- A compliance report at day 30 and day 60

- No commitment past the pilot

- What does “verified” mean?
- That we confirmed the document with its source on the date shown: WSIB for clearances, the TSSA, ESA or corporate register for licences and registrations, and the broker or insurer when a certificate needs confirming. It means the document is genuine and current. It is not legal or insurance advice, and it doesn't guarantee how an insurer will treat a particular claim.
- What happens when a vendor doesn't respond?
- We follow up by email and phone over two weeks. If a vendor still hasn't sent what's needed, they're flagged as non-responsive in your report, so you can decide whether to keep using them.
- Do my vendors have to pay anything?
- No, never. Vendors send their documents for free, and the record they build is theirs to reuse with every other customer. That's a big reason they answer.
- What counts as a vendor for billing?
- Any company we actively track for you in a month. Vendors you stop using drop off the next invoice. The $299 monthly minimum covers up to 24 vendors.
- Is there a setup fee or a long contract?
- Setup is a one-time $500 for loading your portfolio and requirements, waived for founding pilot clients. Billing is monthly, and you can cancel with 30 days' notice.
- What do you need from us to start?
- Your vendor list (any format), your insurance and licence requirements, and a contact for questions. We do the rest, and aim to have every vendor requested within the first week.
- Can we still log in and see everything?
- Yes. You get the full Vendorpass account: every vendor, document, expiry date and request is visible to your team at any time, along with the history of what we did.
- How do you handle our vendors' documents?
- Documents are shared only with the organizations the vendor works with and handled under our privacy notice. Policy and account numbers are never shown publicly.
